Case Study
Aqeeqa Celebration by AL-Tuaam Catering and Event Planner
On 8 November 2025, AL-Tuaam Catering and Event Planner held a small-scale Aqeeqa ceremony for a long-term customer in their house in 98 E Block, Model Town. AL-Tuaam has been trusted by this family with all the milestones since 2023, the engagement of Sarim, their mehndi and mayoun and various intimate dinners. The Aqeeqa was not a run of the mill project due to this history. It felt personal.
The family desired an atmosphere of warmth and empathetic service that would not ignore the spirituality of the event. AL-Tuaam structured a traditional menu, separated male and female guests and made a relaxing white and blue sitting set up. The event was organized well and the family has provided positive feedback such as how comfortable and assisted they were.
In this case study, we will discuss the difficulties they faced with a residential location and how the best event planner in Lahore managed to create a memorable and peaceful party.
Client Background
We started our relationship with this family at the beginning of 2023 when they chose AL-Tuaam to host Sarim at his engagement dinner. They desired a group that could be culturally aware and one that could manage meetings which required both coziness and structure. The interaction was a success and this resulted in more trust and subsequent events.
With time, we were able to know their preferences well. We were aware of the type of food they liked, how much they appreciated the level of service and what kind of atmosphere they deemed comfortable. They were happy not to repeat the same information on every occasion. This acquaintance had formed a relaxed working pace. So, when they invited the Aqeeqa of the son of Sarim, the preparations had a streamlined beginning. It was not merely regarding the expectations. It was in keeping with the trust that has been established over years.
Event Challenges
The Aqeequa came with a number of considerations despite working in this home and within this family.
Residential venue setup
There are natural boundaries of a personal residence. The area is small, movement is limited and the design should be able to accommodate comfort and safety. On this occasion we had to prepare seating for close to ninety people without obstructing the walkways or crowding the living area of the family. The tandoor also required a safe and well-ventilated space that was not in the foot traffic.
White and blue seating theme
The family demanded a white and blue clean palette. It had to look gentle, not busy. The dilemma was to make it classy and to fit it perfectly in a residential setting that was not designed to hold events in the first place.
Separate male and female sections
The cultural demands necessitated two areas each with two different service teams. This formed two parallel processes that occurred simultaneously. Both parties required the same consideration, constant stream of food and consistency of quality.
Freshness of live tandoor
A live tandoor can be erratic when it is being run at home. Quality is influenced by temperature, demand of guests and time. Bread was to be soft and fresh without waiting and queuing.
Smooth food timeline
Soup to dessert, everything had to be prepared at the appropriate time. The presence of early arrival and late preparation may interfere with the experience. Planning and effective communication between employees meant a coordination of the flow of guests and the cooking pace.
The Proposed Solutions by AL-Tuaam
Curated menu design
We have chosen the food that was tasting and adjusted to a traditional Aqeeqa. The menu was comfortable and occasion-oriented:
- Crackers Chicken Hot n Sour Soup.
- Mutton Qorma
- Mutton Pulao
- Tartar sauce and fish Tempura.
- Live tandoor (naans and rotis)
- Shahi Badami Kheer
- Cold drinks and water
All the items were selected according to the previous suggestions of the family. This assisted in developing a familiar feeling menu that remains celebratory.
white and blue seat composition
The design team suggested a simple and soft appearance developed around blue and white. It aimed at producing an atmosphere that would be relaxing enough to fit the celebration of a baby.
The setup included:
- White round tables
- Blue runners which did not overwhelm space.
- Chairs are bound with blue organza bows.
- Blue napkins at each setting
- Floral arrangements of light, soft white base.
- Cozy lighting to make the space an atmosphere of calm.
This all assisted the home in feeling renewed without causing the setting to be disrespectful or peaceful.
Separate staff units for privacy
The men section was taken care of by male staff and the women section was taken by the female staff. This strategy guaranteed comfort of the guests, and maintained efficiency in service. There was a supervisor in each team that handled timing, communication and coordination.
Space optimization
Our operations team visited the site before concluding with the layout. They calculated the space that was available, documented the natural motion patterns and experimented with various arrangements.
This helped lock in:
- The seating arrangement was not crowded.
- A buffet track, easy and easy to control.
- A safe tandoor placement
- An employee path that tourists never see.
Service timeline planning
To avoid delays we developed a pace chart of each food item. The crew cooked small portions of souffle. The fishing station was in active short shifts. The tandoor team maintained a consistent pace without creating a surplus or lagging.
All team leads were provided with this timeline so that all remain on track.
Execution and Implementation
Pre-event preparations
Here work began a day before with fundamental cooking work. The Mutton Qorma required hours to get deep. The Pulao stock was cooked early enough to obtain the appropriate aroma. A light marination of the fish was done to retain its crispy coating when frying.
Event day setup
The decor team arrived first. They establish tables, chairs, floral objects and lights. All the tables were balanced and symmetrical. The blue and white interior appeared pure and serene in the house.
Soup service
At about 3.30 pm the guests started coming in and the soup was made in batches to ensure quality and temperature. There were fresh chicken cubes in each bowl and hot crackers.
Main course
The Mutton Qorma was cooked on a low flame. Mutton Pulao was stacked and cooked locally. The two dishes gave out a warm and appetizing smell that was felt throughout the buffet space.
Fish Tempura
The frying crew remained on the move all through the event. Frying it in small batches made the fish crisp. Tartar sauce was readily available to both genders.
Live Tandoor
About 120 to 140 breads were made in the tandoor team. The favorites of the crowd were garlic and roghni naan. The team maintained a continuous movement all afternoon.
Dessert and drinks
Shahi Badami Kheer was caught in an icy cold. Alcoholic beverages were poured often and iceboxes were put in corners that were out of sight to keep the drinks cold.
Results and Impact
The event was conducted in a well organized manner. Almost ninety guests received their service without any delays and both sections were well-coordinated.
Key results:
- Fast service in both male and female part.
- Fresh and continuous tandoor production during the event.
- Great reviews on the qorma and pulao by the guests.
- An atmosphere that was as serene as the Aqeeqa.
